Do You Scare Your Friends? (with your ability to see detail and get things done)
Do people sometimes confuse you with an octopus, due your effortless ability to handle multiple things happening at once?
Are you the kind of person who is a self-starter, loves to solve problems and get things done on time?
Are you the person in your group of friends who is the “organized one” who always seems to be five minutes early and handles problems in an unflustered way?
Would you like to do meaningful work by helping to co-ordinate our ambitious veterinary referral hospital?
If so, please read on. We may have the job for you.
You’ll be an experienced and organized manager/leader who values hard work, order and building processes that work effectively and run on time.
You’re a meticulous planner who lives by the old tailor’s rule “measure twice, cut once”. That said, you’ll be someone who can also get things done on time.
Leadership is something you are interested in as well, you’ve probably been on a bit of a learning journey in this regard. (We have!). Leadership books like Conscious Business, Good To Great or something similar have probably influenced your personal development.
To that end, you’ll be an avid learner, hungry to improve. You view failure and growth as one and the same thing and have learned to minimize risk of failure, while maximize learning opportunities in your work.
This probably means you’ve gotten some scars along the way, but these scars are worn with pride and have helped you develop, rather than hidden under a cloak of shame.
You’re also a self-starter in the right conditions. You’re not someone to wait around for someone to give you an assignment, but you also like to be sure that the work you are doing is the right work for the right reason. So you don’t end up blasting off into the wrong direction with projects and waste valuable time and resources.
Over and above the exciting projects you get involved in, you have the ability to create systems or effectively delegate tasks to make use of the team around you and also ensure that the regular tasks get done on time and within budget.
Your experiences mean that you are able to manage the wide range of functions any business performs from marketing to bookkeeping with client care in the middle.
You’re also a Tetris playing guru when it comes to making the staff schedule and your ability to balance the books is legendary.
We are well on our way to becoming Florida's leading provider of veterinary neurology, neurosurgery and advanced imaging. We accomplish this by providing high quality, thorough and thoughtful care for our patients, compassionate service for our pet-owning clients, and consistently and tirelessly providing humble expertise to the veterinary community of South Florida.
With these ideals in mind, we have steadily grown over the past eight years to be a trusted name in referral practice in South Florida. We were recently named to the Gator 100 -- the list of the fastest growing Gator-led companies in the world and were a finalist in the South Florida Chamber of Commerce "Good to Great" Awards.
We value leadership highly and are building our internal leadership capability at present (you’d be part of this development Our team is tight-knit, highly skilled, motivated and professional. We need you to join us and help be part of the leadership and organizational backbone of this team.
About The Role
The work you’ll be helping us to do at Southeast Veterinary Neurology matters because we do amazing things like help paralyzed animals walk again so they can enjoy life with their owners. In our case, sometimes what we do really is brain surgery! (Don’t worry, we don’t do rocket science – NASA is a few hours north, so we leave that to them).
You will be working with the Chief Operating Officer and Owner to make sure the business continues to grow and prosper. This involves solving problems and establishing procedures for the operation of this hospital. You will assure we operate within all legal guidelines such as OSHA and DEA.
Working with the Chief Operating Officer you will assist in creating, updating and implementing our strategic growth plan and budget, including goals and tactics. You will monitor KPI’s and report on deviations with a plan to correct. You will make recommendations on projects to be initiated to improve revenue or reduce costs.
You’ll also help to recruit and onboard new employees and work with Department Leads to make sure all staff have a performance plan with goals. Record keeping is really important in our world, so you’ll be making sure the daily checklists and reconciliation of the practice management system are completed error free.
Working with our marketing manager you will assist in creating and following a marketing plan focused on referral sources and future clients. You’ll build on existing strategies and participate in marketing activities such as hospital visits, community events, and Neurologist lectures.
General management duties include maintaining a comprehensive Operating Procedures Manual and audit to assure it is being followed. You will ensure effective and efficient workflow through proper employee scheduling, training and performance monitoring. You will hold weekly meetings with your department leads and participate in the planning and execution of a monthly all-staff meeting.
But don't worry; you won’t be trapped in an office. We encourage you to roam the hospital, work along-side everyone, and be available to meet our clients, pet some patients, and solicit feedback on how we are doing.
And as your skills grow there will be lots of opportunities to take on more responsibilities and learn new things.
You’ll generally work Monday through Friday from 8am to 5pm. Because SEVN is a 24-hour, 7-day facility, needs will dictate that the Practice Manager be able to come in at irregular hours to deal with employee, client, or facility business. Occasionally, the Practice Manager would want to monitor how employees perform on the weekend and to take part in evening lectures and weekend marketing events.
Applicants will ideally have a bachelor’s degree and at least 5 years’ experience as a manager.
It would be great if this was a veterinary, dental or medical business, but this is not essential.
You will be proficient with practice management software and Excel, Word and PowerPoint. We are a Mac Practice – so if you hate Macs… beware.
